Regular maintenance and renovation of the chairman office

During my journey with many senior leaders, I realized something that seems simple but has profound power. The chairman office is not only a place to make decisions. It is also a space that reflects the thinking, temperament and vision of the leader. However, no matter how sophisticated that space is, it still needs to be cared for and renewed periodically as a way to “maintain internal strength”. In this article, from the perspective of an architect, I will share practical experiences on how to maintain and recreate the president’s office. So that the place is not only durable over time, but also always full of leading energy.

1. Items that need regular maintenance in the chairman office

Mechanical and electrical system – air conditioning – lighting in the chairman office

I used to think that maintaining the electrical system was simply “making it work properly”. But in reality, keeping a space running smoothly and coolly, with soft lighting that doesn’t cause glare, is an art. Every quarter, I ask the technical team to check the entire electrical system in the wall. Especially the sockets, circuit breakers and wires in areas that are rarely used. Places that are easily forgotten but have the potential for electrical short circuits.

With the lighting system, decorative lights (spotlights, downlights) are the details that need to be prioritized. Because just one weak light or out of angle can ruin the overall aesthetic. Air conditioners and air purifiers also need to be periodically maintained, vacuumed inside, and have filters replaced. I prioritize choosing a machine with deodorizing and PM2.5 dust filtering functions to keep the air fresh. A luxurious space is not only seen with the eyes. It must also be felt through the air and the quietness inside it.

Interior & finishing materials

I have a habit of lightly running my hand over the surface of the table, chair back, and cabinet edge every time I enter a room. A rough, scratched, or faded feeling is a sign that it is time to intervene. Materials such as veneer, leather, or plated metal often show signs of deterioration after 6-12 months of use if not properly cared for. I once discovered a small stain on the arm of the chairman’s chair. It was just sweat from my hand, but over time, the leather changed color.

With the desk, I ask for a thorough check of the joints, hinges, and slide rails. Avoid looseness or noise when opening. What few people pay attention to are seemingly small details such as cabinet handles, drawer pulls, or floor mats. They can create a new feeling after just one afternoon of replacement. This is the “secret” I often apply whenever I want to refresh the space without changing the whole thing. A secret that is both effective and economical.

Artistic decoration & feng shui for the chairman office

I believe that every piece of art, whether it is a large oil painting or a small stone statue placed on a table, contains a unique and subtle energy. After a while, when the space feels familiar and uninspired, I often change the location of the decor. A painting is moved from the hallway to the office. A small statue from the conference table to the bookshelf. This change not only helps to refresh the perspective, but also creates a new flow of energy in terms of feng shui.

I also pay special attention to decorative lights such as chandeliers and hanging lamps. These lights also need to be cleaned carefully in every detail. Dust accumulated over time not only dims the light, but also affects the luxury of the space. At the beginning of each year, I often invite a feng shui expert to review the position of tables, chairs, objects, and sitting direction. Because in my opinion, feng shui is not superstition. It is a way for us to create a positive energy flow to welcome fortune and inspiration every day. (Top 5 mistakes in ceiling – wall – floor color coordination for the president’s office).

2. Refresh the space periodically

Every 6 months – Lightly refresh, re-inspire

Every 6 months, you should set aside a week to do a “light refresh” for the entire workspace. First, clean the space. Not only mop the floor, clean the surface, but also clean hidden details such as under the table, shelves, door slots, ceiling air conditioners. Areas that often receive guests need to be cleaned even more thoroughly. Because the first impression comes from the delicate cleanliness, not the interior with high material value.

The president’s office also needs to change the scent, choose essential oils or scented candles depending on the season. Add more green plants or fresh flowers after each time the space is refreshed. Sometimes just a small bonsai pot. A few branches of pure white orchids or a monochrome vase placed skillfully on the table. It is enough to make the whole room bright. In addition, I often advise the president to adjust a few small layouts. Like gently turning the sofa to receive more natural light. Changing the position of the tea table, or moving the decorative statue to another corner. The changes seem very simple. But they create a distinctly new feeling. To me, this is the gentlest way to “change the clothes” of the space. Like a cool breeze blowing through, helping the leader to regenerate energy. Maintain a positive spirit and focus on daily work.

1 year/time – Overall refresh, bringing trends into the space

With my experience in designing workspaces for leaders, I always advise clients to do a total refresh every year. Not a big change, but enough to “refresh the feeling” and keep the space from looking outdated.

Usually, I start by reviewing the overall color scheme of the space. After 12 months of use, lighting, living habits. And changes in user psychology can make the original color tone no longer suitable. At that time, I suggest restyling by adding a new layer of color through accessories, cushions, wall paintings. Or boldly replace the accent wall with wallpaper, new material panels or paintings.

Lighting is also a point that needs to be upgraded periodically. Not only for technical reasons, but because light creates emotions. A new floor lamp, warmer spotlights or simply adding a dimmer switch… are enough to bring depth to the space. As a designer, I believe that small changes, if timely, can create a huge boost to work inspiration.

Every 3 years – In-depth renovation, redefining class

Three years is an important cycle for a workspace, especially a CEO’s office. After this period, a deep renovation is often needed. As an architect, I don’t just look at the deterioration of materials. I always ask: does the current design still reflect the new stature and orientation of the user?

This is when I start with an in-depth consultation with the client to review their working philosophy, brand positioning, and goals for the next 3–5 years. From there, I suggest appropriate trends. For example, should we bring nature into the space? Or should we make it minimalist but luxurious? Or integrate smart technology to make the office both luxurious, modern, and have a deep experience.

I also took this opportunity to upgrade materials. Replace laminate flooring with high-quality engineered wood. Add sound-absorbing walls, use automatic curtains or lighting systems controlled via an app. Every detail is aimed at creating a workspace that affirms the personality and vision of a modern leader. For me, designing a workspace every 3 years is an opportunity for the space to redefine itself. (Interior design of the president’s office and the role of natural materials).

3. Notes when maintaining and renovating the chairman office

As an architect, I have found three “immutable” principles when maintaining or renovating a leadership space. These are respecting individuality, being discreet in construction, and being restrained in change. First of all, a president’s workspace always bears a very personal mark. From their favorite color, the position of their chair, to the feng shui items they trust. Any intervention must retain their personal identity. It cannot be renewed by “erasing and starting over”.

Second, maintenance or renovation needs to be carefully planned. Ideally, it should be done during the holidays to avoid disrupting meeting schedules or affecting company personnel. Finally, I always emphasize to my team that: renovation does not mean redoing everything. Just tweaking the right points, a bright corner, a decorative detail, a new arrangement… is enough to “revive” the space while still keeping the original spirit intact. Conclude

The president’s office is not only a place for strategic thinking. It is also a “silent stage” that shows the class and attitude of the leader. Periodic maintenance and renewal are the technical and artistic work of maintaining energy. Like winding up a sophisticated machine. I believe that: the more attentive the space is, the more liberated the thinking is. And a courageous leader deserves a space that is always as fresh as their vision. Steady, innovative and inspiring for the next steps.
